Model payroll without Excel: percentages, bonuses and deductions with no errors

Why spreadsheet payroll leads to disputes and how to move it to clear rules the system applies on its own.

In most studios, model payroll starts in a spreadsheet. At first it works: a few columns with earnings per platform, a percentage formula, a total. But as the studio grows, the spreadsheet starts living a life of its own.

Where spreadsheet payroll breaks

The problems rarely sit in the formula itself — they show up around it.

  • Individual terms. One model gets 25%, another 30% plus a bonus for the number of shifts, a third has an equipment deduction. Every exception is one more manual edit.
  • Data from different places. Platform earnings are copied from reports, shift times from chats. Any typo goes straight into the payout.
  • Team shifts. When two people run a shift, income has to be split. In a spreadsheet this is almost always done by hand and from memory.
  • Currencies. Platforms pay in dollars while payouts often go out in another currency. When conversions are done by hand, two managers get two different numbers.

The result is familiar to many owners: arguments over percentages, recalculations at the end of the month and models who don’t trust the numbers.

Rules instead of manual formulas

Reliable payroll rests on a simple principle: terms are set once and applied automatically every time.

  1. Describe the terms for each model. Percentage, bonuses and deductions belong in the employee profile, not in a manager’s head.
  2. Take data from shift reports. If platform earnings are entered in the shift report, nobody needs to copy them into a spreadsheet again.
  3. Fix the rules for teams. A team shift should split income between its members right away.
  4. Show results in two currencies. The owner sees earnings in dollars, and the model sees a payout amount she understands.

How it works in TipsyCRM

In the Payroll section you pick employees and a period. The system collects their shifts and calculates earnings and the payout according to your rules. For each employee you see the number of shifts, the percentage, earnings in dollars and rubles and the total to pay out.

Team shifts are handled automatically: income is split between the employees who worked together. The currency is set in studio settings and every calculation follows the same rules, so every manager gets the same numbers.

Transparency for models

Payroll disputes usually come not from an error but from the fact that a model can’t see how the amount was calculated. When every employee can open the dashboard and see their income shift by shift, questions become far less frequent. No more calculator maths and keeping numbers in your head.

Where to start

If you still run payroll in a spreadsheet, start with an inventory of terms: write down the percentage, bonuses and deductions for every model. This list will be useful whatever system you move to, and in TipsyCRM it can be moved into employee profiles in one evening.
