What to record in a shift report: a checklist for webcam studios

Which data a shift report needs so you can run payroll, analyse revenue and never dig through chat history again.

The shift report is the foundation of every other number in a studio. Payroll is calculated from it, analytics are built on it, and it’s what you open when you need to sort out a dispute. If the report is incomplete, everything else suffers.

Below is the minimum set of data worth recording for every shift.

1. Who worked, and with which model

The employee and the model are the first fields of the report. If your studio runs team shifts, list every participant: it determines how the income is split.

2. Start and end time

The actual start and end time, not the planned one. The gap between plan and reality shows late starts and early finishes. It works best when the time is recorded automatically the moment a shift starts and ends, rather than typed in at the end of the day.

3. Working time and breaks

Total shift length says little without breaks. Store working time and break time separately: it makes shifts easier to compare and shows how long a model was actually live.

4. Earnings per platform

The most important part of the report. For each platform you need tokens and the amount. A total without a breakdown won’t tell you which platform makes money and which doesn’t.

5. Manager note

A short comment on what happened during the shift: technical issues, new ideas, agreements. A month later, notes like these explain the dips and peaks on the revenue chart.

6. Shift status

Scheduled, in progress, completed. Status shows who is working right now during the day and, in the history, separates completed shifts from cancelled ones.

How to make reporting easier

The main reason reports end up incomplete is friction. If a model or manager has to open a spreadsheet after the shift, find the right row and copy numbers from several places, sooner or later something gets lost.

A few rules that help:

  • One source of data. The report is filled in one place, and payroll and analytics take their numbers from there.
  • Automatic time. The system records the start and end of a shift; nobody types them in by hand.
  • Easy corrections. Typos happen. A report should be editable without rebuilding spreadsheets.
  • Owner notifications. When shift results reach the owner right away, reports don’t get postponed.

Reports in TipsyCRM

In TipsyCRM a shift report contains working time and breaks, tokens and amount per platform, the total and a manager note. Shift history lives in a single table with a period filter, and results can be sent straight to the Telegram bot.
